Practice Manager – MedSpa

Location: Golden and Cherry Creek Rejuvenate

Job Description: We are seeking a highly motivated and experienced Practice Manager to join our team. The Practice Manager will oversee all aspects of daily operations to ensure the smooth and efficient functioning of the Medspa. This role requires strong leadership skills, exceptional organizational abilities, and a commitment to delivering outstanding customer service.

It is the Practice Managers’ role to exemplify and set the expectations of Rejuvenate’s core values, goals, budget and performance standards for Golden and Cherry Creek offices and to communicate it to staff, by utilizing knowledge of organization policies, procedures, and systems. The Practice Manager will use skills in planning, organizing, delegating, and supervising, and must work effectively with staff and patients.

Additionally, the Practice Manager will use skills in gathering and interpreting data and must be able to take initiative and exercise independent judgment, decision-making, and problem-solving expertise. The Practice Manager will be responsible for managing daily activities, ensuring efficient patient flow, maintaining compliance with regulatory standards, and fostering a positive patient experience. This role requires strong leadership, organizational, and interpersonal skills, and a deep understanding of how Medspa practices operate.

Responsibilities:

  • Manage day-to-day operations of Medspa, including scheduling, staff supervision, and inventory management.
  • Ensure compliance with all Colorado regulatory requirements and maintain high standards of safety and cleanliness for Golden and Cherry Creek offices.
  • Develop and implement policies and procedures to optimize workflow and enhance the patient experience.
  • Recruit, train, and supervise staff members, fostering a positive and collaborative work environment.
  • Set Expectations and hold staff accountable to those expectations and job roles.
  • Monitor and evaluate employee performance, providing feedback and support as needed.
  • Collaborate with clinical manager to hold quarterly as well as yearly reviews with staff and track OKRs (Objectives and Key Results).
  • Hold and run monthly staff meetings.
  • Collaborate with Clinic Manager on development and operations of clinical staff.
  • Coordinate with clinical manager, vendors and suppliers to procure necessary supplies and equipment.
  • Understand and provide feedback for marketing team surrounding promotional activities to attract new clients and retain existing ones.
  • Handle client inquiries, complaints, and feedback, ensuring prompt and satisfactory resolution.
  • Manage financial aspects of the Medspa, including budgeting, billing, and revenue tracking.
  • Set and manage OKRs for all staff the first Thursday of each month.
  • Stay informed about industry trends, innovations, and best practices to continually improve services and offerings.

Qualifications:

  • Bachelor’s degree in business administration, healthcare management, or a related field (preferred).
  • Proven 3-5 years’ experience in a managerial role, preferably in a healthcare or Medspa setting.
  • Strong leadership skills with the ability to motivate and inspire team members.
  • Excellent communication and interpersonal abilities, with a focus on customer service.
  • Exceptional organizational skills and attention to detail.
  • Proficiency in computer software applications, including Microsoft Office Suite.
  • Knowledge of regulatory requirements and standards related to Medspa operations.
  • Working knowledge of Nextech (preferred)
  • Ability to adapt to a fast-paced and dynamic work environment.
  • Passion for aesthetics, with a commitment to delivering high-quality care and an elevated customer experience
